End-of-Month Meeting Prep — April 2026

Format: What did we do? → Trends → Stories (what / how / so what) → What should we change? Meeting: Mon Apr 27, 10:30–11:15 AM PT (AS:DE / EOM combined). Josh + Joe.

1. What did we do?

Stanford in-person week (Mar 30 – Apr 1)

  • Tinkery Flash Lab (Mar 30) — 16 York Scholars (HS juniors/seniors, NY). Gregory Wilson co-facilitated while Reuben observed. flashlab.live boost cards + problem-statement worksheet.
  • End-of-month wrap-up (Mar 31) — Q1 close.
  • Health Coach Bot Zoom w/ Marily (Mar 31) — In-person at GSE ANKO 011 didn’t happen; converted to a Zoom call with Marily only. Cloud-sync default, A/B experiment design, multi-stage moderation discussed.
  • Lake Forest Activation Stage — 2 sessions (Mar 31 + Apr 1). ~20 attendees, Superintendent Matthew Montgomery, Anthony Pollina, Dan Paustian (New Trier HS), Christine Bywater framing.
  • Reuben↔Christine debrief (Mar 31).

Q2 kickoff & Studio Services

  • AS Quarterly Planning (Apr 8) — retrospective, capacity, tag analysis, brainstorm sharing.
  • Studio Services + Doorley/Britos Cavagnaro (Apr 15) — cross-team alignment (Cathy, Moraima, Adam Royalty, Josh, Joe).
  • GSE All-Staff (Apr 15) — GPS performance cycle + Sequoia HR preview.
  • Shaping the Narrative workshop (Apr 16) — Joe organizing; Reuben helped run + invited 4 seed grantees (Fan, Forssell/Ramirez, King, DeVeaux).
  • CRISPRkit App first meeting (Apr 8) — Belinda Yeung; cross-platform app + chatbot prompts scoping.
  • VFT Seed Grantee Monthly (Apr 9) — Kristen-led; resulted in Kristen’s Apr 16 reply-all ask (delivered Apr 22).

Seed grant interactions

  • Sent 4 [CHECK-IN] emails (Apr 13) to seed grantees — Fan, Forssell/Ramirez, King, DeVeaux — inviting them to Shaping the Narrative + offering to meet. Logged in Airtable.
  • Dancing through Time check-in (Apr 23) — first sit-down with Cyan since winter. Project status flipped 🔴 Stalled → 🟢 Active. 5+ intro lines opened (Kathy Kerns, Brian Brown, Tech Interactive, Tim/Tammin, Cathy Chase) + recurring 4–6 week cadence agreed.
  • CRISPRkit Studio Services (originally Apr 23, rescheduling) — Moraima moving the cross-team meeting; CRISPRkit prep continued (TestFlight, GSE IT loaner devices, Android-on-Chromebook research).
  • Seed Grant Info Session (Apr 24) — Jessica Tsang cleared COI on AI+CT track (“the Studio will not be supporting thought leadership awardees… please go ahead and apply”).

sofIA collaboration (new)

  • First tech meeting (Apr 17) — Sergio Arango, Josh, Gabriel Inchausti, Micaela Bonilla, Guillermina Suarez (Ceibal, Uruguay).
  • Reuben built a reverse design document for the Lovable MVP (projects/sofia-design-doc.md) — full architecture, vendor lock-in surfaced, recommended path on auth, schema, conversation memory, and a Prompt Lab proposal.

Build-a-Bot / R&D

  • Tinker Time Run-Through (Apr 20) + META PL #7: Tinker Time (Apr 22, Cohort 2) — Christine + Reuben co-facilitated. Reuben’s read after: “went AWESOME, they loved it.”
  • “Unanswer” weekend prototype — Reuben extended his LDT Bloom’s-taxonomy classifier into a tool that doesn’t answer the question but helps the asker sharpen intent (“removing the oracle from the LLM”). Built for AI+CT seed grant application.
  • Christian Haake (NLQ, Apr 27) — German translation of Build-a-Bot inquiry inbound this morning. Potential German-speaking K-12 multiplier.

Strategic / 1:1 work

  • Josh 1:1s (Apr 9, Apr 10, Apr 16, Apr 23) — career trajectory conversation opened (Apr 16); Robust / Reach framework landed (Apr 23) as shared vocabulary for August 2027 vision; ISTE planning concretized.
  • ISTE deliverables in motion — Wed 9–10:30am AI Pavilion slot confirmed; Josh covering $385 presenter registration through Moraima’s card on AS ops code; 150-word session description drafting underway.
  • Organizations list (Apr 23) — three-tier framing: Stanford-internal (PLEX, CRAFT, AAA, Challenge Success), External partnerships (ISTE/ASCD, NewSchools, LAUSD, PhET, PBLWorks, Carnegie), Frontier/funder (Walton, CZI, LEGO, OpenAI Academy, Anthropic, Google, MS).
  • Rachel Wolf VFT viewer (Apr 23–24) — built a viewer-only photosphere app for Cal Academy of Sciences VFT collab. Resolved Apr 24.

The Stanford in-person week worked — three days yielded 5+ stories. Stacking Tinkery + Lake Forest + Health Coach Bot in a single trip produced more compounding interactions than any equivalent month of remote work. Worth repeating.

Co-facilitation is becoming the default scaling pattern. Gregory at Tinkery, Christine at META, Joe + Josh + Reuben at Shaping the Narrative. Every workshop this month had at least one co-facilitator — a shift from solo Q1 deliveries.

Build-a-Bot is showing up as a research-platform pattern, not a workshop. Health Coach Bot (Stanford Prevention Research), sofIA (Ceibal/Uruguay growth-mindset RCT), and “Unanswer” (LDT/Bloom’s) all hit the same month. Different domains, same skeleton.

Cooling seed grants respond to light touch. DeVeaux flipped 🔴→🟢 from one 45-min check-in. The unsticker was intros to other people — Kathy Kerns, Brian Brown, Tech Interactive — not new commitments from the Studio.

Career-trajectory conversation has taken root. Apr 16 opened it (“what does me in a year look like?”). Apr 23 closed on shared language (Robust + Reach). Reach gets unpacked next 1:1. This is structurally different from any prior 1:1 thread — it’s the Studio modeling its own Robust/Reach work on Reuben.

International pull continues without active outreach. Sergio (Uruguay) joined the Studio orbit this month. Christian Haake (Germany) inquired Apr 27. Combined with Hillary Chan/Bei Shan (Hong Kong, March), Leon Furze (Australia) — Flash Lab and Build-a-Bot keep crossing borders.

3. What stories are emerging?

March amendment frame: What / How / So what

Story 1 — Gregory Wilson independently co-facilitated Flash Lab at Tinkery

  • What: Mar 30, 16 York Scholars (HS juniors/seniors, NY visiting Stanford). Gregory ran the session; Reuben observed.
  • How: Months of Build-a-Bot facilitator training (Mar 3 walkthrough) + Stanford-trip coordination + flashlab.live boost-card infrastructure.
  • So what: First time Reuben has been in the back of the room while a Stanford-side facilitator drove the Flash Lab format. Pairs with Andy Hock (CTE) and Courtney Garza (TCEA) — the train-the-trainer model is now demonstrably working inside Stanford too, not just in the wild.
  • Tags: [MULTIPLIER] [SCALE-MOMENT] [STUDIO-BUILD]

Story 2 — Lake Forest visit produced an unsolicited cross-school endorsement

  • What: Lake Forest Activation Stage drew Superintendent Matthew Montgomery + ~20 attendees including Dan Paustian (Associate Principal, New Trier HS, IL). Apr 3, Isabelle forwarded Dan’s thank-you to Matt: “wonderful visit… thought provoking… a true pleasure to engage with your team from LF.”
  • How: Christine’s Activation Stage framing + Reuben’s AI-literacy spine (“what role do humans and AI play in solutions?”) + Stanford as convening venue. New Trier wasn’t part of the original audience — Dan was a Lake Forest guest, brought the message back.
  • So what: District-leader-to-district-leader endorsement, unsolicited, surfaced through Isabelle. This is the kind of artifact that lands in funder/board contexts. Quoted Impact candidate.
  • Tags: [VALUE-VISIBLE] [BRIDGE-BUILD] [RIPPLE]

Story 3 — Cyan DeVeaux re-engaged after a quiet winter

  • What: Apr 23 check-in (Cyan, Josh, Joe, Reuben). Project went 🔴→🟢 in one meeting. Five intro lines opened: Kathy Kerns (Stanford librarians, recruitment), Brian Brown + HCI devs (Unity captioning), Tim/Tammin (Joyful Learning), Cathy Chase (study design), Tech Interactive (San Jose). 4–6 week recurring cadence agreed.
  • How: Light-touch [CHECK-IN] email Apr 13 → 45-min Zoom Apr 23 → immediate intro packaging during/after. No new Studio commitment of hours.
  • So what: Reframes how to handle “cooling” seed grants. The unsticker isn’t more Studio time, it’s Studio rolodex. Worth replicating with King (Our Voice) and any other quiet grantees.
  • Tags: [CHECK-IN] [BRIDGE-BUILD] [CO-CREATE]

Story 4 — sofIA went from “tech questions” to a real co-build

  • What: First sofIA meeting Apr 17. Reuben followed up by reverse-engineering the Lovable MVP into a full design document — flagged Lovable vendor lock-in, recommended auth/schema/conversation-memory paths, proposed a Prompt Lab.
  • How: Sergio’s empty calendar invite (Mar 27) → Apr 17 first meeting → Reuben building the doc unprompted on the back end → Apr 30 follow-up with Sergio + Micaela locked.
  • So what: New international collaboration (Ceibal, Uruguay) at the teachable-agent / growth-mindset intersection. Direct overlap with Build-a-Bot, Health Coach Bot, “Unanswer” — same skeleton, different pedagogical use. Studio is now a research-infrastructure provider for Latin America ed-tech.
  • Tags: [CO-CREATE] [TOOLBOX] [THOUGHT-PARTNER]

Story 5 — Anonymous grantee named the Studio consultation triad

  • What: Apr 21, Josh DM’d Joe + Reuben a compiled block of grantee responses to “What kinds of support have you received from the Accelerator Studio?” One response: “we have received consultation from Cathy Chase, Josh Weiss, Reuben Thiessen, and others. This has been very valuable in regard to grounding our work in learning research and insights and in helping us reflect on our prototyping learnings and experiments.”
  • How: Grantee survey Josh ran. Source not yet attributed in Josh’s paste — need to ask Josh today to attach the project.
  • So what: External validation that the Studio is recognized as a triad, not a stack of individual contributors. Naming Reuben alongside Cathy + Josh is identity-relevant for the career-trajectory conversation. Strongest April Quoted Impact candidate once attributed.
  • Tags: [VALUE-VISIBLE] [ALIGN] [SOUNDING-BOARD]

Story 6 — META PL #7: Tinker Time landed

  • What: Apr 22, 9–11am, META Cohort 2. Christine + Reuben co-facilitated. Reuben’s read: “went AWESOME, they loved it.” Run-of-show held: 5-min chat → breakout → 10-min build → 5-min tweak → pair share → publish.
  • How: Apr 20 dry-run with Christine; concrete chatbot-interface examples added per Christine’s Slack comment; privacy slide moved up; PDFs/launch pad finalized.
  • So what: META is the cleanest current example of a [LEVEL-UP] arc — multi-session capacity-build with teachers, not a one-shot Flash Lab. Capacity-building is Q1 Goal 3; this is the proof point for that goal.
  • Tags: [LEVEL-UP] [CO-CREATE] [ANCHOR]

Story 7 (watch) — Robust + Reach as shared language

  • What: Apr 23 1:1 landed on Robust (institutional / capacity-building / “trusted, fresh set of eyes”) and Reach (next 1:1) as the August 2027 vision frame. Josh: “When Reuben steps into the room, you get unsucked… You’re not just an IT guy — you’re a relationship writer.”
  • How: Apr 16 1:1 opened “what does me in a year look like” → Apr 23 closed on language → Reach unpacks next.
  • So what: Studio-internal narrative tool. Likely to leak into how Josh frames the Studio externally too.
  • Tags: [THOUGHT-PARTNER] [ALIGN] (internal — not for Airtable Stories field)

4. What should we change?

Quoted Impact pipeline is leaking. Six April candidates sit in daily files; none filed in quoted-impact.md or Airtable yet. Joe’s biweekly nudge has bounced twice. Change: file the six today before this meeting, then commit to filing-on-capture going forward (during /process-inbox).

The Apr 21 grantee testimonial needs Josh’s source. Strongest April story is anonymous in Josh’s paste. Change: ask Josh in this meeting.

Airtable monthly batch is overdue. Last batch was Mar 3 (Feb entries). March entries pushed before Mar 31 EOM but not all confirmed live. April entries pending. Change: run /monthly-airtable immediately after this meeting (today is the only quiet day before SF Tue–Wed).

Tag analysis plan never got written. Committed in March, AS Quarterly Planning Apr 8 talked about it, no rollout doc exists. Change: scope a 1-pager this week — “AI-suggest tags from Airtable text → manual review → confidence by July.”

CRM survey questions — Josh waiting since Mar 5 (53 days). Q1 Goal 3 blocker (re-engagement pipeline). Change: pick a date in this meeting and put it on the calendar.

Cooling seed grants need a calendar hook, not just a check-in. DeVeaux re-engagement worked because we closed with a recurring cadence. Change: apply the same template to King (Our Voice — quiet) and re-audit any other dormant grants.

Process win to keep: [CHECK-IN] email-batch (Apr 13, 4 grantees → Shaping the Narrative) was high-leverage / low-cost. Worth repeating monthly as a default.

Airtable Status

  • Last batch update: Mar 3 (Feb 2026 — 12 records). March pushed individually; April pending.
  • April entries needed (run /monthly-airtable today): Stanford trip block (Tinkery / Lake Forest / Health Coach Bot Zoom w/ Marily), AS Quarterly Planning, CRISPRkit kickoff (Belinda Yeung), Studio Services + Doorley/Britos, Shaping the Narrative workshop, Seed grantee CHECK-IN batch (Apr 13), sofIA first meeting + design doc, META PL #7 Tinker Time, Dancing through Time re-engagement, AI+CT grant prep (“Unanswer”), Rachel Wolf VFT viewer, Christian Haake (Germany — inbound), ISTE 90-min slot confirmed, Josh-covered ISTE registration.
  • Quoted impact to enter: Dan Paustian (Apr 3, fwd by Isabelle), Anonymous grantee ↔ Cathy/Josh/Reuben (Apr 21 — pending Josh attribution), Josh “you’re a relationship writer” (Apr 23, 1:1 — internal), Rachel Wolf “AMAZING Thank you” (Apr 24, photosphere viewer), META Cohort 2 attendee reactions (Apr 22 — capture if attendee quote available), Jessica Tsang COI clearance language (Apr 24 — process win, not impact).

Open asks for the meeting

  1. Josh: who wrote the Apr 21 anonymous “Cathy/Josh/Reuben” line? Attribution unblocks the strongest April Quoted Impact entry.
  2. Joe: do you want me filing Quoted Impact on-capture going forward (vs the biweekly nudge)?
  3. CRM survey questions — pick a date. I’ll commit in this meeting.
  4. DCI Celebration Flash Lab (Jun 5, ~50 people) — anything to flag in the EOM frame, or hold for May planning?

Prepared: 2026-04-27 (~9:30 AM PT) — for 10:30 AM AS:DE / EOM combined meeting
