Meeting Prep: Josh 1:1

Date: Thursday, May 28, 2026 at 10:00 AM PT With: Josh Weiss (Director, Accelerator Studio) Zoom: stanford.zoom.us/j/94194351840 (PW: 588228)

Recurring weekly. Light prep — focus on what’s moved since May 14/21, open commitments both ways, and the few things to land. Filing goes to meetings/josh-1on1s.md with heading ## Josh 1:1 (May 28, 2026).

The throughline: GPS retrospective

This has been the center of the last three 1:1s. State of play:

  • May 14: agreed R/R/R (Reach / Robustness / Resonance) as the guiding grammar; two docs (retrospective + forward-looking plan); Josh promised a sacrificial first draft “mid next week” (~May 20–21).
  • May 20–21: Reuben drafted the retrospective (prep/2026-05-20-gps-narrative-draft.md) and shared it at the May 21 1:1.

To land tomorrow:

  1. Did Josh’s sacrificial draft ever land? Promised May 14, due ~May 20–21. If not, nudge gently. If yes, compare and align.
  2. Next-round cadence toward the June 30 submission — how many more iterations, who does what.
  3. Two GPS sub-items still open on Reuben’s side: compile STAR-style prompts for R/R/R sections (Fizzy #110), and the forward-looking 12-month plan — 🆕 skeleton drafted this morning at prep/2026-05-28-gps-forward-plan-skeleton.md. Bullet structure only; two structural options (grid vs. quarterly theme rotation) for Josh to react to. Six open questions at the bottom of the doc.

End-of-month follow-ups (from the May 26 wrap-up)

  • Meeting format shift to thematic “so what” discussions + June 11 in-person full-day (“Team Retreat 2,” 9am–5:30pm, already on calendar). Open logistics: who books the room (Sound Union)?
  • 3 strategy action items from the wrap-up: offerings catalog, partnership-roles guidance, grantee-category intake prompts (Fizzy #114–116).
    • 🟢 Progress to report: the offerings-catalog work is substantially started — Reuben built a reusable “Building a Train-the-Trainer Project” playbook today (reference/building-a-train-the-trainer-project.md), triggered by CRISPRkit wanting an “Ambassador” program. Good evidence that the repeatable-offerings idea is real and moving.

ISTE scope-of-work — needs Josh alignment

From yesterday’s ISTE↔SAL meeting (Joseph South, Jessica Garner). Open terms to settle with Josh before going back to ISTE:

  • Net vs. gross revenue basis for the royalty (Joseph: “royalties are usually 10% NET”).
  • Exclusivity — ISTE wants it; the framing floated was revenue-gated (“exclusive as long as you’re bringing in this much revenue”). How much non-exclusivity does AS want to protect?
  • Who delivers training at scale — find a partner who can both generate demand and deliver, including internationally.

This is the natural slot to get Josh’s read and a unified position.

Open commitments

Waiting on Josh:

  • Flash Lab cost sheet feedback — sent May 6, now 3 weeks. Gentle nudge.
  • Sacrificial GPS draft (above).
  • Forward Claire’s email/co-proposal; SoM / Kristen Bassetti co-proposal for SAL leadership.

Reuben to surface / decide:

  • DCI travel booked (status update). Flying in Thu Jun 4 to run Build-a-Bot with Christine in Redwood City (SMCOE PD), then DCI Flash Lab Fri Jun 5. Resolves both the booking and the Christine SMCOE Jun 4–5 availability thread in one move.
  • Cyan DeVeaux — commit or formally pause. 5+ weeks stalled; don’t roll it again. Quick decision with Josh.
  • Darcy one-pager + tear sheet feedback — status of that thread (sent May 11, Josh CC’d).

Deferred threads (raise only if there’s room):

  • Title/comp and the TPM hire — both consciously deferred at May 14. Reuben flagged them as “open threads to surface later.” Optional.

Suggested talking points (priority order)

  1. GPS: Josh’s sacrificial draft + next-round cadence to June 30.
  2. ISTE SOW terms — align on net/gross + exclusivity before re-engaging ISTE.
  3. DCI / SMCOE trip Jun 4–5 — quick status: Build-a-Bot with Christine Thu, DCI Flash Lab Fri. Anything Josh wants relayed to Christine or DCI hosts.
  4. Repeatable offerings progress — TTT playbook built; CRISPRkit Ambassador as the next use case. Ties to the wrap-up decision.
  5. Cyan — commit-or-pause, fast.
  6. Light asks: cost-sheet feedback nudge, June 11 room owner, Darcy thread.

Light note — Crystal Springs AI Literacy debrief (same day, 3:30 PM)

Separate meeting later today: Preetha Menon (organizer), Sarah Levine, Tammy Wu Moriarty, Christine Bywater, Reuben. Internal team debrief on the Crystal Springs AI Literacy project. Christine is 46 days cooling — this is the natural re-touch. No deep prep pulled (per Reuben’s call); skim Preetha’s thread beforehand if time.

Generated: 2026-05-27. Recurring 1:1 — lighter prep. GPS retro is the throughline; ISTE SOW alignment + DCI booking are the time-sensitive adds.
