Big Picture: Iterate on the sustainable systems we’ve created for transparent team communication and shared values that amplify individual voices.
Tiny Experiments:
- Facilitate 5-min “values in action” discussion during one weekly meeting a month, where team members share examples
- Improve at more rapidly switching between “micro” and “macro” views.

By August 2026, I will have used our Team Handbook, Code Book, and quarterly review framework to establish systematized communication systems for the Accelerator Studio team that achieve consistent alignment between documented and actual practices and ensure at least 75% of seed grantee projects have three or more tags from our codebook, indicating concrete examples of where our team has added mission-aligned value.

SMART GOAL
By August 2026, I will have used workshops and consultations to build strategic influence in AI+Education for Stanford’s education community in order to support our team’s impact as not just service providers, but strategic partners, while advancing my strategic leadership. I will achieve this by leveraging partnerships with groups like AI Tinkery, CRAFT, and CSET, delivering 4 quarterly workshops, and documenting at least 10 examples where stakeholders sought strategic problem exploration rather than technical fixes.

By August 2026, I will have supported the Accelerator’s goal of being a model for scalable AI+Education capacity building by transforming created programs (such as Build-a-Bot and other workshops) into repeatable, scalable systems, establishing at least 3 different scaling methods (self-service, trained facilitators, and online), in order to multiply our impact beyond our team’s direct, in-person involvement.

Big Picture: Developing personal practices that sustain long-term effectiveness in order to prevent burnout, and model healthy leadership,
Tiny Experiments:
- Energy Audit (Monthly): Track energy levels after different types of activities for 2 weeks, identify top 3 energy-givers vs drainers
- Learning Sprint (Quarterly): Dedicate 2 hours/month to exploring one new skill/topic completely outside your current work (could be personal interest)
- Reflection Ritual (Bi-weekly): 20-minute structured reflection on “What gave me energy this week?” and “Where did I feel most aligned with my values?”
- Saying “No”: Try saying “Let me check my capacity and get back to you” instead of immediate yes/no

By August 2026, I will have implemented holistic wellness practices including energy audits, learning sprints, and reflection rituals to sustain my creative contributions. This will happen by establishing 3 sustainable routines (physical, mental, reflective) practiced weekly, in order to maintain long-term effectiveness in supporting the teams around me and the educators that I support.

By Dec 31, 2025I will have set up and conducted three end-of-month tag roll-up meetings, to review tags and ask ourselves: are our tags providing evidence of our value-add to the projects we’re involved in, or do we have projects that aren’t really aligned with our goals? To help accomplish this, by September 30, I will set up a tag repository (view) in Airtable, and ongoing ensure any tags noted during meetings are entered into Airtable, and 100% of active projects have at least one tag.

Think bigger than just build-a-bot and workshops. Those are examples of this work.
We are “Capacity building for localized experimentation” “conversion engine between and expertise capital and human capital”
Bot thing is fading away - coming in is a larger way of thinking and practicing localized experimentation moves. Doing enough over time, it turns into capacity.
Interaction and evaluation - they can choose to use the tools and the practices that afford the most effective use of those tools. They can’t start off with saying “this tool is good or bad”
Some of it is a framework question and some is a practicing of this skill

We propose a reclassification that aligns more closely with the demands of SAL initiatives on Reuben’s time and expertise. It would recognize Reuben’s skill set beyond project coordination, particularly his background as a technical architect, in order to serve the evolving needs of complex SAL projects.
This role transitions from a focus on project coordination to more comprehensively supporting and leading the build of technical projects. This is more in line with his current work portfolio with faculty, researchers, and workshop partners, where he is often called upon to design as well as develop emerging technologies for high-visibility projects using cutting-edge AI tools.
Finally, it reflects his increase in qualification, as he has earned his PMP certificate as a project manager.
- Planning, monitoring, and directly coding IT projects for web and AI tool development according to technical and research needs from SAL initiatives. Minimal supervision, utilizing AGILE and SCRUM methodologies.
- Architecting plans for timeline and scope for technical projects, often leveraging project management software. Developing project spec sheets to cohere objectives and deliverables for the team. Minimal supervision, utilizing timeline visualizations.
- Leading or co-leading planning sessions based upon needs-finding conversations and technical feasibility. Some initial supervision, largely autonomous.
- Devise or co-devise strategies for stakeholder management relative to objectives of project, and in particular technical requirements balanced against resources available. Manage expectations as projects flex and evolve with advances in relevant technologies.
- Directly scoping projects and establishing project parameters with staff or researchers, in support of projects within the scope of SAL initiatives. Communicating with leadership about opportunities and risks in technical projects, actively participating in the development of web or tool development. Strategizing at department level or across university stakeholders to identify project needs and plan out resources.
